Retina Communications (a Transiris Company) is an innovative consultancy in the areas of Digital Marketing & Automation, Analytics, Big Data with an emphasis on providing enterprise strategy, infrastructure, and solutions to Fortune 500 clients. With offices in the US, Canada, Spain, Austria, UK, and Romania, Retina is rapidly expanding and offering solutions and expertise internationally.

We are looking for an enthusiastic and motivated Admin Assistant for our office in Brasov.

Main responsibilities: 

  • Take care of the office in Brasov: oversee work performed by handymen and janitorial services; keep track of inventory; plan interior decorations; manage office supplies and place orders when necessary.
  • Handle resident complaints, maintenance requests, and other concerns according to property-specific and company procedures.
  • Maintain the relationship and negotiate contracts with the suppliers.
  • Purchase equipment and furniture as instructed.
  • Assist in managing the relations with Romanian authorities regarding different types of authorizations (Trade Register, work security, Municipality, etc.).
  • Fill out and send any type of Romanian declarations to local and government authorities (not including reporting done for accounting purposes); ensure that we comply with the law.
  • Manage phone calls and correspondence (e-mail, letters, packages, invoices, etc.)
  • Assist with travel management by coordinating trips for our employees (including flights, rental, cars, etc.); ensure that loyalty programs are being used for maximum value.
  • Submit timely reports and prepare presentations/proposals as assigned.
  • Provide support to Operations as needed.

 

Requirements:

  • Advanced level of English; 
  • Excellent written and verbal communication.
  • 1+ years of experience as an Office Administrator or a similar role.
  • Strong attention to detail, analytical thinking, and the ability to multi-task and prioritize tasks.
  • A problem-solving attitude, even when presented with unfamiliar or complex problems.
  • Can be relied on to consistently get things done efficiently and in a timely manner.
  • Has a positive attitude and helps to maintain a great environment for Retina employees.
  • Experience with full MS Office Suite desired.
