The main responsibilities include but are not limited to:
- Responsible for the relationship with the owners of the building in which the company operates
- FACILITY responsible
- Be in permanent contact with service providers in order to fix any damage, mis functionality and request for improvements related to the office space (workspace, recreation areas, meeting rooms, facilities, parking area)
- Ensures protocol within the company and meetings, as required & daily
- Be in contact with cleaning company to assure a permanent clean and healthy work environment
- Providing support and cover on reception when necessary
Balance effort and backup for the main Snr office admin for:
- Provides administrative support: logistics activities, reservations, catering for local events
- Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; and delivering supplies to work stations.
- Performs administrative and secretarial daily activities
- Helps organize meetings, courses and any events in the company
- Customer care for visitors, prior putting them in contact with the business representatives
- Greeting clients and visitors as needed.
- Takes over, filters and directs telephone calls
- Takes, records, archives and distributes correspondence and messages received from partners, customers and other employees towards departments / individuals concerned
- Responsible for sending by courier mail correspondence and packages related to the main activity of the employees
- Provides support in organizing business trips for employees and collaborators and helps with providing transportation and accommodation
- Support for periodic inventory maintenance
- Internal library (order books, record new books, inventory)
- Carrying out periodic health and safety checks
Together they have to:
- Always promotes the image and interests of the company
- Meets any other services upon the manager’s request.
Job Requirements
- Experience in using Microsoft Office package, including Outlook, Excel, Word, and PowerPoint
- Team player, motivated self-starter, detail oriented, and positive attitude
- Written and verbal communication skills in English
