Role & Responsibilities Outline:
The Contract Administrator’s is dedicated to ensuring that the project related contract commercial requirements and legal obligations, as defined in requests for quotations (RFQs), signed contracts and completed contracts for design or technical services are understood, implemented, complied with and followed-up by Company.
The Contract Administrator is involved in all four stages of contract management, covering:
Pre-contract,
Contract Execution,
Post-contract,
Maintaining the Contract Department systems
Main responsibilities include:
- Ensuring effective Company contracts lifecycle management;
- Evaluation of the commercial aspects and requirements contained in RFQs, preparation of Proposal Letters and commercial annexes, compiling and issuing the Proposals, then follow-up with Clients during the bid evaluation and contract negotiation;
- Provide legal / commercial advice on Company’s contracts with different suppliers during the negotiation phase;
- Managing bid and contract-related documentation and records;
- Provide the contract commercial, legal and administrative support to the Project Team during the execution of the contracts to ensure compliance with all Company contract obligations, resolution of commercial issues and enforce Client compliance with its commercial and legal obligations;
- Active participation in project meetings, including with Clients and other relevant stakeholders, with input on the contractual provisions and conclusions
- Administrating of contract commercial and legal obligations during contract execution;
- Maintaining an effective communication flow with all relevant internal and external stakeholders;
- Provide contract support regarding contracts entered into with subcontractors and vendors interfacing with and supporting Company projects;
- Supporting the Contracts Administration Manager and Project Manager in preparing the contract close-out documentation and files;
- Administration of the post-contract issues, surviving commercial obligations;
- Maintenance of Company’s commercial database and archives as well as the administrative systems, procedures and processes;
- Document and update contract administration procedures and best practices
Requirements:
- Bachelor’s Degree in Commercial Law or Economic Sciences or International Economic Relations;
- 5-year experience in international contracting, specifically including commercial terms and conditions;
- Proficient understanding of commercial law;
- Fluency in English, at least C1 to C2 level, both in speaking and writing;
- Computer literacy in Microsoft Office (Word, Excel, Power Point) and data base creation and management
- Detail oriented;
- Effective customer management skills and crisis management;
- Internet research and investigation skills;
- Understanding of project management philosophy;
- Quality focus; proactivity in continuous improvement of Company Contract standard documentation;
- Effective customer-approach skills including tact and diplomacy when dealing with difficult situations
- Good Internet research skills and the ability to synthesize relevant information on International Law and Case law.
