Job Purpose

To provide administrative support to the Contract Support Team.

Ensuring efficient and accurate entry of contract information into the company database
system(s).
Key Responsibilities
Closeouts- management
To manage the Closeouts folder/emails in an effective and accurate
manner
o Update inventory report as per hotels and CS department request
o Minimize errors rechecking complicate charts
o Prioritize work load based on TL directions
o Inform TL/Senior of duplicated emails received
To add value above core duties
o Share ideas to improved current procedures
o To implement Closeouts procedures across the company and
partners
o Train new members for the Closeouts area on procedures and
tasks
Communication
o Inform CS and other direct involved departments of the trading
trends
o Support other departments to access information from Closeouts
area on professional and clear manner
Revisions Folder- management
To manage the Revisions folder/emails in an effective and accurate
manner
o Load and update special offers/amendments as per hotels and CS
department request
o Prioritize work load based on TL directions and department
priorities
o Report and investigate any issues in regards to revisions, if
depends of loading, system issue, bookings failure.
o Minimize errors rechecking revisions and always creating test
bookings for the accurate use of the offer.

o Train new members for the revisions area on procedures and
tasks
Communication
o Inform CS department of trading trends
o Support other departments to access information from Revisions
area on professional and clear manner
Loading and checking contracts process
Loading contracts in an effective and accurate manner
o Load/Check contracts with the highest accuracy in order to reach “zero error
rate” as per the department requests
o Prioritize work load based on TL directions
o Inform TL/ Senior of any queries in regards to loading processes

o Share ideas to improved current procedures
o To implement Loading procedures across the company and partners
o Train new members for the Loading/Checking area on procedures and
tasks
o Follow and enhance loading/checking manuals
o Send across ideas for system developments

Communication
o Continuous communication with CS departments for clarifications/training
purposes
o Share information about the loading trends and processes of the CS
department.
o Support other departments to access information from Loading area on
professional and clear manner
Booking investigations- management
Investigate bookings in an effective and accurate manner
o Investigated cases with the highest accuracy in order to reach “zero error
rate” as per the department requests
o Prioritize work load based on TL directions and urgency of the issue
o Inform TL/Senior of any queries in regards to investigations processes
o Be the first point of contact between all the cases raised by other
departments and the Contracting support department on all booking
investigations related issues
o Seek to resolve any disputes or situations that arise with other departments
as swiftly and amicably as possible, and to escalate to the Team Leader if
unable to do so directly
o Provide ongoing advice, support, training and coaching on all matters
relating to systems/contract module and reporting to TL and Contract
Support Managers so that they are able to perform their roles efficiently and
effectively based on the repetitively cases of lack of training or attention.
o Ensure that necessary booking investigation projects/tasks are completed
within the time frame agreed and as per agreed procedures

o Creation of a clear procedure in regards to booking investigations for the
team, containing all the steps needed to be taken when investigation a
case.
o Train new members for the Booking Investigations area on procedures
and tasks
o Follow and enhance booking investigations manual
o Send across ideas for system developments

Communication
o Continuous communication with CS departments, TL, Senior and
Managers for clarifications/training purposes
o Share information about the trend issues and processes of the CS
department.
o Support other departments to access information from Investigations
area on professional and clear manner
