Prerequisites:

  • Prior Operational Experience 7+ years
  • Adequate skills and expertise for process mapping, process design, and policy and procedural writing
  • Adequate skills and expertise for building relevant documentation (DFDs, DPIAs, vendors risk assessment forms), ability to perform relevant risk assessments by applying adequate methodologies (i.e. balance test)
  • Ability to work within a team environment, to collaborate on and improve existing policies and procedures

Repository Management for all compliance related materials, non-exhaustive list:
  • Organizational Assets which govern the work support the compliance requirements
  • Operational Data Privacy Processes, defined by methods, products, services, local/global
  • IT Information Security & Platforms, defined by methods, products, services, local/global
  • Data flow diagrams (DFDs)
  • Data Privacy Impact Assessments (DPIAs)
  • Ops Vendors Risk Assessment evaluation forms (questionnaires)
  • Certifications and Audit materials

  • Continuously re-assess all types of risk for processing personal data inside Total Operations, considering all business areas, such as: processes (internal, crossed Ipsos affiliates, external with 3rd parties), vendors, new activities of processing personal data, etc.
  • Responsible to structure risk assessment process for effective and efficient implementation across Ipsos Operations organisation addressing all areas identified as mandatory to go through such risk governance process. Prepare the risk assessments processes, including Operations flows, vendors and sub-contractors, contributing to the risk evaluations and necessary documentation
  • Structure risk assessment repository, for easy document retrieval and change management
  • Contribute to the risk assessment governance process – like data privacy impact assessments, third party onboarding etc., supporting and coordinating end users on building the adequate documentation (i.e. Data Privacy Impact Assessments, vendors Risk Assessment evaluations etc.)
  • Responsible for coordinating with end users building the processes data flow diagrams (DFDs) and for maintaining them accurately by closely collaborating with the end users
  • Develop standard documentation methods and tools to efficiently produce high quality documents and effective risk assessment governance process inside the company
  • Control access, versioning, and updating of documentation
  • Monitor regulatory activity to maintain compliance with records and document management laws
  • Prepare and record changes to official documents and confirm changes with legal and compliance management staff
  • Manage availability and verification of materials and prepare necessary documents
  • Retrieve electronic assets from repository for distribution to users, collecting and returning to repository, if necessary
  • Plan and direct documentation projects for timely delivery of documents, publications, and online content
  • Contribute to prepare support documentation and training materials for end users of document management systems
  • Contribute to the internal and external audits to maintain quality and resolve issues
  • Contribute during inspection visits with IT and Legal resources
  • Review and summarize submitted documentation, focusing on risk areas related to data protection compliance. Assist in determining document management policies to facilitate efficient, legal, and secure access to electronic content. Manage documentation regarding technical, resourcing and policy enforcement tasks
  • Ensure compliance with documentation needs through client and research collaboration, assign resources and update management on projects
  • Responsible for a second layer of DPO support to Romanian Ipsos Legal entities
