Role Description:
- Day to day running of the reception area.
- Keep reception desk clear and tidy. Maintain appearance of main reception quickly removing all deliveries and rubbish.
- Great and assist visitor, candidates, new hires and issue visitor pass and contact host.
- Ensure meetings rooms, break out areas and service points are clean, tidy and ready for use.
- Book taxis when asked to.
- Maintain temporary security passes
- Answering telephones, e-mails, distribution of post and organizing couriers (sign for deliveries and co-ordinate inbound/ outbound shipments).
- Ensure any maintenance issues claimed by client is properly communicated to FMC and/or WSS, logged in I-office and taken care to be fixed.
- Highlight any deficiencies in supplier performance to FMC and/or WSS.
- Order hospitality when requested.
- Review incoming supplier invoices, verify, stamp, sign and forward to C&W Accounts Payable Team. Maintain log of invoices
- Manage new starter process together with the FMC and/or WSS.
- Work as part of the FM team sharing responsibilities to enable team to work efficiently and deliver a 5-star service.
Experience:
- Previous reception and administrative experience.
- Previous experience in a corporate environment.
- Customer service background/knowledge ideally.
- Ability to work as part of a team.
- English language proficient user.
Knowledge:
- Strong working knowledge of Microsoft products, especially Outlook and Word, ideally Excel.
