Job Description (Roles and Responsibilities)

The British Embassy in Bucharest is part of a world-wide network, representing British political, economic and consular interests overseas and is looking to appoint a Head of Ambassador’s Office to work as part of the Political/Chancery/Economic Diplomacy team. The Head of Ambassador’s Office will support the Ambassador and the Deputy Head of Mission, by scheduling meetings, commissioning briefing, managing correspondence, taking minutes of meetings, including the Embassy Board, and coordinating tasking across Embassy sections.

Main Duties and Responsibilities:

  • Manage the Ambassador’s diary and provide administrative support to the Ambassador and Deputy Head of Mission;
  • Ensure timely handling and issuing of correspondence, briefings and programmes, while liaising with relevant sections;
  • Plan and schedule meetings and make travel arrangements;
  • Welcome guests and answer or direct incoming enquiries;
  • Act as secretary for the Embassy Board and take the record of other meetings on an ad hoc basis;
  • Administer travel and Corporate Credit Cards claims;
  • Manage the Ambassador’s official entertainment/representational budget;
  • Co-ordinate official events, including guest lists, with the Residence staff
  • Manage the Embassy Public Enquiries inbox, with support of other teams

Essential qualifications, skills and experience  

  • At least 2 years experience in a similar role
  • PA role experience in an international office environment
  • Proficient level of English and Romanian (written and spoken, minimum of C1 level for CEFR framework*)


Desirable qualifications, skills and experience  

  • Experience of working in an international environment 
  • Proven secretarial skills

Other benefits and conditions of employment  

This is a full-time, maternity cover fixed-term contract of 2 years (35 hours net per week). Working hours are flexible and staff are entitled to time-off-in-lieu for agreed extra hours worked.

The annual leave entitlement is 25 days per year pro rata and the Embassy also enjoys a maximum of 14 Romanian / UK public holidays per year.

Monthly salary is RON 7092 gross (salary is not negotiable). In addition, staff are entitled to a 13th month salary pro rata and may receive a performance related bonus at year end. Staff also receive meal vouchers and a monthly subscription to a medical centre. An individual personal development plan will be agreed with the successful candidate, which may include training outside Romania.

For your information whilst the Emergency Ordinanceis in place the job holder will receive a gross monthly compensation bonus of RON 1418 gross.

The successful candidate will be subject to confirmation of a background check and security clearance, and satisfactory completion of a probationary period of up to 30 calendar days.

Staff recruited locally by the British Embassy are subject to terms and conditions service according to Romanian employment law.

Visa/Passport requirements: Candidates must currently hold the independent right to live and work in Romania and be prepared to ensure that right remains throughout the scope of the contract. Additional requirements may become necessary after 31st December 2020.
