We are looking for an Office administrator in our Iasi office to join our global Company on a permanent basis.

 If you have a can-do character, willingness to meet and accept challenges, if you have good organizational and communication skills, and you are fluent in spoken / written English, we have a great opportunity for you!

Your mission is:

  • To ensure that the Iasi Office functions are managed professionally, accurately and in accordance with Company policy, governmental regulations and existing regulatory policy
  • Managing relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time.
  • Ensuring facilities financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise.
  • Identifying and implementing, in liaison with IT infrastructure team, the office infrastructure requirements eg. internet, telephony, furniture, computers, stationery etc. in case of office move.
  • Prepare all necessary documents (travel orders, payment orders, etc) for the travel.
  • Liaising with the external supplier to ensure that the working environment is legally compliant with Health and Safety at Work and Fire Safety legislation.
  • Carrying out activities related to office administration by assisting other departments, such as: HR, IT, or any other department if requested.

What we are looking for:

  • Fluency in spoken and written English.
  • Able to work effectively under pressure and in an organized manner, with attention to detail. 
  • Practical, hands on and results driven approach.
  • Credibility and confidence to work effectively with employees at all levels. 
  • Strong analytical skills.
  • Strong IT skills in Microsoft Office suite (Word, Excel, PowerPoint). 
  • Ability to maintain confidential information in a professional manner.
  • Flexible and adaptable.
  • Ability to anticipate and solve problems. 
  • Stamina and persistence.
  • Resilience and open to working in an ever-changing environment.
  •  Ability to organize and plan effectively and to prioritize tasks to manage multiple activities and meet deadlines. 
  • Willingness and ability to take ownership for decisions.
  • Ability to negotiate
  • Previous experience of working as Office manager or any position related to management is preferred.
