We own a chain of instant office centres, present in Romania for more than seven years, offering to its clients cutting-edge office space, fully furnished and equipped, with services included in the fixed, beneficial budgets.

We are looking for an open, organized, and active person to be responsible for the smooth running of our office operations in Bucharest.


Responsibilities
Administrative and financial tasks
• Manages the reception area and performs all related secretarial tasks
• Responsible for daily petty cash and expenses reports, in collaboration with the financial department
• Responsible for purchase orders raising and invoice tracking using internal tools, in collaboration with the financial department
• Responsible for meal tickets ordering, in collaboration with the HR department
• Coordinates inventory and office supplies orders
• Coordinates all aspects of travel arrangements for the teams
• Maintains relationship with local suppliers and local clients
• Responsible for welcoming guest as arranging transportation, accommodation, and meals
• Manages both internal and external events
• Receives, sends, and archives the correspondence
• Maintains an organized filing system of paper and electronic documents
• Offers a wide range of administrative support to the teams
People-related tasks
• Supports Financial and HR departments by working with company documents
• Employees and third parties as suppliers, clients, guests

Requirements
• University degree;
• Proficient in English, both speaking and writing;
• Work Experience: previous experience in similar roles is a must;
• Good Microsoft Office skills, with the ability to get acquainted with company-specific programs and software;
• Comfortable working collaboratively, virtually, and independently;
• Strong organizational, administrative, and analytical skills;
• Client-oriented attitude;
• Strong interpersonal skills with the ability to communicate effectively;
• Integrity: be reliable and credible, comply with the company’s business principles;
• Ability to multi-task and manage conflicting demands;
• Ability to maintain confidentiality.
