- Manage and organize meetings, keep a database with documents and suppliers up to date;
- Ensures administrative support to all departments of the company;
- Provides general support for visitors;
- Manages travel arrangements for employees, management and visiting customers, manages business trip documents;
- In collaboration with external provider is the owner of Health and Safety process;
- Manage office supplies inventory and place orders as necessary;
- Manages and optimizes the General Manager’s schedule, calendar, and appointments;
- Creates documents or reports as required by management;
- Part of the new employee onboarding process: makes sure all steps are taken (from the administrative point of view) according to procedure;
- Support in external and internal events organization: fairs, teambuilding, Internship, etc;
- Manage contract and price negotiations with office vendors, service providers, landlord;
- Keep Cash register, order and distribute meal tickets and payslips;
- Keeps track of all types of leave makes collective leave sheet, manages employees’ accounts in internal timesheet tool;
- Makes addendums to employee working contracts;
- Part of the employee onboarding process from the administrative point of view.
This job is a 2-year fixed-term contract for replacing a maternity leave.
Your profile:
- At least 1-2 years of previous administrative experience;
- Great organizing skills;
- Great attention to detail and problem-solving skills;
- Prioritizing and ability to multi-task skills;
- Proven initiative and proactivity;
- Flexibility;
- Excellent spoken and written communication skills;
- Ability to work on your own;
- Good knowledge of English language;
- Good knowledge of Microsoft Office (Excel, Word).
