Role Summary

Fortech is looking to add a valuable function to its organizational structure by evolving the Operations department.

We are looking for a Project Controller in the Operations team structure and part of a centralized project support function (Project Management Office), that will provide projects related data reporting support, with a focus on existing processes and new initiatives across the organization.

This involves working in partnership with internal stakeholders (C-Level, Senior Managers, Project Managers and functional areas, especially with the Project Management Office): 1. to support definition and execution of project financials activities within the organization, by ensuring that the needed inputs are provided in a timely, effective and efficient manner; 2. to execute and improve the internal effort reporting process within the organization and 3. to provide administrative support to the Operations department to effectively plan and manage their activity.

Your Responsibilities

Project Financials:

  • Implement and improve a common set of practices, principles, methods and tool(s) for the project financials and reporting discipline
  • Manage and consolidate the internal reporting process regarding project controls, by working closely with other involved departments
  • Share and promote project financials area within the organization
  • Select and maintain project financials tools and templates for the organization
  • Manage the internal projects data management tool – integration with other existing tools, maintenance and improvement; provide training programs for colleagues using the tool
  • Support the current project financial processes and, based on gap analysis, propose and implement new processes and procedures
  • Analyze and report data that can be used to develop an accurate projection of projects financials that will be used as a recommendation/instilled as a process to make decisions about project opportunity, management, quality, budget, timing and controls
  • Maintain, operate and improve a controlling system for projects financials in the delivery model, including project KPIs
  • Define and maintain projects dashboards
  • Ensure project financial processes are being followed, by performing regular assessments of submitted projects data and follow-up

Internal Effort Reporting:

  • Perform queries of internal systems, dataset analysis and generate internal effort reports
  • Evolve the current reporting data set to commercial projects effort data
  • Ensure the internal booking model is being followed by performing regular assessments of timesheets through Jira exports and regular assessments of the organizational internal tasks’ accuracy
  • Define and maintain overall company effort dashboards
  • Work with project managers and senior managers to ensure that our internal projects data management tool is maintained updated and contains accurate and relevant data
  • Support the maintenance and propose enhancements related to the internal projects data management tool functionalities and usage

PMO & Internal Projects Program Support:

  • Understand the framework under which we manage the internal tools’ development and maintenance and provide administrative support
  • Support PMO’s initiatives implementation and participate actively in PMO’s processes execution, as needed
  • Support the PMO team in project financial management and divisional reporting

Operations Department Administrative Support:

  • Offer administrative support on internal meetings management (setup, changes, meeting notes), department spaces across all internal tool suite (structure, permissions, content)
  • Participate actively in the execution of the department’s initiatives
  • Integrate information from the Operations department’s teams in order to facilitate easy access, sharing and dissemination of information with team members
  • Cultivate and maintain effective working relationships with a variety of stakeholders, including project managers, department managers, and unit managers

Your Competencies

Must Have:

  • Business and financial knowledge is essential
  • Proficiency in MS Office, in particular Excel (pivots, macros etc.) and experienced with dashboards creation is essential
  • Good understanding of project management processes, KPIs measurement and project financial
  • Strong analytical and abstraction skills
  • Knowledge and/or experience with development methodologies (Agile Scrum, Kanban, Waterfall), with Atlassian tools suite (especially Jira) and with Microsoft tools suite (.: OneDrive, Microsoft Teams)
  • Excellent communication and organizational skills, with high attention to details
  • Advanced presentation and interpersonal skills
  • High level of assertiveness coupled with the ability to work autonomously in a cooperative setting
  • The desire and ability to work independently in a small, effective team environment, but also roll up and align efforts to the larger teams’ goals 

Nice to Have:

  • Knowledge and/or experience in developing project dashboards
  • Knowledge and/or experience of working on projects delivering organizational change is an advantage
  • Content management skills and a willingness to learn to use and manage various IT systems currently employed as knowledge repositories (. Confluence, OneDrive, Git)
  • Exposure to implementing best practices related to complex IT projects financials in order to resolve organizational needs
  • University degree in a relevant field
