Your role as a Senior Process Specialist for Data Management Services (DMS) team:

The DMS Senior Process Specialist role is to focus on continuous process and system improvements, to deal with and manage complex requests and escalations on his/her own, this being predominantly a highly technical role.

Acts as a process expert and as a deputy Team Leader for all the operational and technical issues on the process.

Responsibilities:

  • Creates new procedures according to system and process changes and monitor their implementation
  • Periodical review of the procedures
  • Periodical review of all ERP and systems that are used in the team and proposal of improvement ideas
  • Analysis of improvement ideas, his/hers or the team members, proposal, follow-up and implementation together with the direct manager
  • Initiates and manages Requests for Change in collaboration with the manager and the Process Specialists in the team
  • Continuous focus on innovation, standardization and automation of processes through analysis of the technical limitations and needs of the team
  • Periodically identifies, shares and promotes best practice ideas within the department and beyond if necessary
  • Daily monitors the team workflow and allocates tasks and resources, ensuring that proper resources are in place for good deployment and continuity of activity
  • Identifies knowledge gaps at individual level and customizes the training accordingly
  • Trains new team members
  • Quality checks on the work performed for the grading 19 associates and not only
  • As a support function, manages all customer master and customer core pricing related data for the allocated region
  • Prioritizes all activities to meet established service level agreements (SLA) and team measures
  • Liaises with Sales Associates when further clarification of job to be done is required to ensure the task is completed accurately and effectively
  • Works with various internal teams in a collaborative manner to effectively and efficiently support the process and the team.
  • Reinforces communication within the team, from the Team Leader to the team and vice versa
  • Provides support to the Team leader and offers advice on technical and process related issues
  • Prepares charts, graphs, and tables for presentations or inclusion in reports and issues regular reports following established procedures
  • Adheres to Office Depot’s set of values, complying with Company’s internal procedures while performing his/her tasks and having a business  like conduct

Requirements:

  • French and English at an advanced level
  • 2-4 years general experience
  • at least 1 year finance/sales/data management processes related - would be a plus
  • Advanced Excel knowledge
  • Good command in SAP would be a plus
  • Technically oriented
  • Analytical thinking
  • Planning, coordinating and problem-solving skills
  • Drive for results and self-motivated
  • Ensures accuracy in preparing and delivering reports at management`s request
  • Flexible mindset and good decision-making skills
  • Strong priority setting skills
